Acceptable Use Policy
Effective date: February 21, 2026
This Acceptable Use Policy ("AUP") governs your use of the BarOS platform. It is incorporated into and forms part of our Terms of Service. Violations of this policy may result in suspension or termination of your account.
1. Intended Use
BarOS is designed for managing bar, taproom, and beverage service operations. The platform is intended to be used for:
- Managing draft beer taps and keg inventories.
- Processing and storing supplier invoices for beverage products.
- Tracking product catalogs, costs, and pricing.
- Integrating with POS systems for sales data and profitability analysis.
- Generating reports on keg lifecycle, margins, and operations.
- Coordinating staff access to tap management via kiosk/PIN mode.
2. Prohibited Activities
You may not use the Service to:
2.1 Illegal Activities
- Violate any applicable local, national, or international law or regulation.
- Facilitate the sale or distribution of illegal substances.
- Evade tax obligations or engage in fraudulent bookkeeping.
- Launder money or facilitate other financial crimes.
2.2 Security Violations
- Attempt to gain unauthorized access to any part of the Service, other accounts, or connected systems.
- Probe, scan, or test the vulnerability of the Service without written authorization.
- Interfere with or disrupt the Service's servers, networks, or infrastructure.
- Deploy malware, viruses, or malicious code through the Service.
- Attempt to reverse engineer, decompile, or extract the source code of the Service.
2.3 Abuse of Resources
- Use the Service for purposes unrelated to bar/beverage management (e.g., as general file storage).
- Upload content that is not related to your business operations (invoices, product data, etc.).
- Generate excessive automated requests designed to overload or degrade the Service.
- Use the AI invoice processing feature for purposes other than extracting data from legitimate supplier invoices.
2.4 Harmful Content
- Upload content that infringes on third-party intellectual property rights.
- Store or transmit personally identifiable information beyond what is necessary for your business operations.
- Upload content that is defamatory, obscene, or promotes violence.
3. Account & Access Rules
3.1 Account Ownership
- Each account is intended for a single venue/business entity.
- The account owner is responsible for all activity under their account.
- Account credentials (email/password) must not be shared with other businesses or individuals outside your organization.
3.2 Staff Access
- Staff PINs should be unique to each staff member — do not share PINs between employees.
- Deactivate PINs promptly when a staff member leaves your organization.
- Staff Users may only access the kiosk features authorized by the account owner.
- The number of Staff Users must remain within your subscription plan's limits.
3.3 Multi-Venue Use
- Each venue requires its own account and subscription.
- Do not use a single account to manage multiple unrelated venues unless you are on a plan that explicitly supports multi-location management.
4. API & Integration Usage
4.1 Rate Limits
To ensure fair use and platform stability, the following limits apply:

| Data exports | 20 per day per account |

4.2 Integration Rules
- Automated integrations must respect rate limits and include reasonable backoff/retry logic.
- Do not scrape or crawl the Service's web interface. Use the provided API or export features instead.
- API access tokens are confidential — treat them like passwords.
- Report any API security issues to security@baros.dk.
5. Content Standards
All content you upload or create through the Service should be:
- Accurate and related to your legitimate business operations.
- Data you have the right to upload and process.
- Compliant with applicable data protection laws (especially regarding any personal data of third parties).
You are responsible for ensuring that any personal data you upload (e.g., staff names, supplier contacts) is collected and processed in accordance with applicable privacy laws. See our DPA for details on how we process data on your behalf.
6. Reporting Violations
If you become aware of any violation of this AUP — by another user, or even inadvertently by yourself — please report it to support@baros.dk. We take reports seriously and will investigate promptly.
7. Enforcement
We reserve the right to investigate suspected violations and take appropriate action, including:
- Warning: We may notify you of the violation and request corrective action.
- Temporary suspension: We may temporarily restrict access while investigating.
- Account termination: For serious or repeated violations, we may permanently close your account.
- Legal action: We may pursue legal remedies for violations that cause harm to BarOS or other users.
Where possible, we will notify you before taking enforcement action and give you an opportunity to address the issue. For severe violations (e.g., security attacks, illegal activity), we may act immediately.
